1. What information do we collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services (including when you join a waitlist or request updates via our website forms), when you participate in activities on the Services, or otherwise when you contact us (including through our website contact form).
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names (first and last name)
- email addresses
- contact form messages and related correspondence (for example, the question or privacy request you submit at calendiary.ai/contact)
- usernames, including the public @handle you choose for your Calendiary account
- contact preferences, including whether you opt in to marketing emails
- birthday
- goals, to-dos, and related planning content you create in the app
- onboarding survey answers (for example, how you heard about us, how often you plan, and what you find difficult about planning)
- contact requests you send or accept, and event invitations you send to or receive from other Calendiary users
- procedural avatar configuration (for example, appearance settings you choose)
- timezone and similar account preferences
- AI conversation or session context you provide while using Ask AI or related features
- durable preferences or habits our AI has learned from things you tell it in Ask AI (for example, a preferred workout length), which you can view or delete at any time in Settings → Memory
Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:
- health data (for example, a wake time inferred on-device from HealthKit Sleep Analysis)
- HealthKit data. Data obtained through HealthKit (including any inferred wake time derived from Sleep Analysis) is used only to provide the health- and planning-related features you enable, and only after you grant HealthKit access in iOS. We do not use HealthKit data for advertising, marketing, advertising-related profiling, or other use-based data mining; we do not sell HealthKit data; and we do not share HealthKit data with advertising platforms, data brokers, information resellers, Mixpanel, or other analytics/advertising SDKs. We do not use HealthKit data for credit, insurance, or employment decisions. We do not write health records into HealthKit, and we do not store HealthKit data (including inferred wake time) in iCloud. You can revoke HealthKit access at any time in the iOS Health app (Settings → Health → Data Access & Devices, then Calendiary). Revoking access stops further reads; it does not by itself delete inferred wake time already stored with your account — use in-app account deletion or contact us for that.
We do not collect or store account login passwords. You sign in through Sign in with Apple or Google Sign-In, and authentication is handled by those providers.
Payment Data. If you choose to make purchases (such as in-app subscriptions), payment instrument details (for example, card number and security code) are handled by Apple. We do not collect or store your full payment card details. We use RevenueCat as a subscription and entitlement processor, which may receive information such as your app user identifier and purchase/entitlement metadata necessary to manage your subscription status. You may find Apple's privacy notice here: https://www.apple.com/legal/privacy/en-ww/, and RevenueCat's privacy notice here: https://www.revenuecat.com/privacy.
Social Media Login Data. We offer two sign-in methods: Sign in with Apple and Google Sign-In. When you register or log in with Apple, we receive certain information from Apple, such as your Apple user identifier / identity token and, when you choose to share them, your name and email address. When you register or log in with Google, we receive an identity token from Google containing your Google user identifier and, where available, your email address and whether it is verified. If we offer other social or third-party login options in the future, we may collect certain profile information from those providers as described in "How do we handle your social logins?" below.
Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
- Calendars (EventKit). With your permission, we access calendar data such as event titles, times, location strings associated with events, attendee and organizer email addresses, and calendar names. We use this information to power your timeline, event categorization, Ask AI and Do Loop features, and goal-step sync with your calendar. Relevant subsets of this data may be sent to our servers and, when you use Ask AI or related AI features, to AI service providers that help operate these features, as described in "Do we offer artificial intelligence-based products?" You can deny or later revoke calendar access in iOS Settings → Privacy & Security → Calendars. We do not use the Contacts API, and we do not build a marketing contact database from calendar attendees.
- Attendee matching and identity aliases. Calendar attendee and organizer email addresses come only from calendars you have permitted us to read through EventKit — not from the Contacts app, public databases, or purchased lists. Where you are marked as the calendar "current user," we may collect participant or organizer email addresses as identity aliases linked to your account. We may also resolve attendee emails against our user records to determine whether an attendee is a Calendiary user and, if so, display limited presence information such as display name and avatar on invite events. This involves limited cross-user disclosure only when email addresses match. We do not use these addresses to contact people except at your explicit initiative (for example, when you send a Calendiary event invitation).
- Screen Time (Family Controls). With your permission, Screen Time-related data is processed on your device. We do not upload app names or usage graphs from Screen Time to our servers.
- HealthKit (Sleep Analysis). With your permission, we may use HealthKit Sleep Analysis on-device to infer a wake time for sleep-schedule and planning features. We may send that inferred wake time (not your raw sleep samples) to our servers so we can apply it to your own planning. If you use Ask AI or related AI features, that inferred wake time may be included in the context sent to AI service providers solely so the suggestion can take your wake time into account. It is not sent to Mixpanel, advertising networks, or other Calendiary users, and it is not stored in iCloud. You can revoke HealthKit access in the iOS Health app as described under "Sensitive Information" above.
- Microphone and Speech Recognition. If you use Ask AI voice input, audio is processed by Apple's Speech Recognition to produce text. We do not continuously record audio outside this feature. A visible and/or audible indication is shown while the microphone is in use. We do not store raw microphone audio on our servers; we may process and store the resulting text (and related AI context) as described in this Privacy Notice. Transient audio processing by Apple is governed by Apple's privacy terms. You can revoke microphone access in iOS Settings → Privacy & Security → Microphone.
- Notifications / Push Notifications. We may send local notifications generated on your device (for example, event reminders and Live Activity check-ins). We also register device push tokens with our servers so we can deliver service notifications related to your account — for example, when another Calendiary user sends you a contact request or an event invitation. Service notifications are also stored in your in-app notifications list. We do not send promotional or direct-marketing push notifications unless you have explicitly opted in. That opt-in is a separate setting in the app (Settings → Notifications → "Get occasional notifications"), it is off by default, and turning it on is the only thing that adds your account to the audience for an announcement push — allowing notifications at the iOS level does not. You can turn it off again at any time from within the app, as well as in iOS Settings → Notifications. Event alerts can also be turned off in the app. Push notifications are not required to use Calendiary's core features.
- Alarms (AlarmKit). If you enable a wake-up alarm in Sleep Schedule, we use Apple's AlarmKit to schedule that alarm on your device. Your sleep schedule and the alarm are stored on your device and are not sent to our servers.
- Calendiary contacts, @handles, and invitations. If you choose a public @handle, other Calendiary users can find your account by searching for that handle and can see your handle, display name, and avatar. Sending or accepting a contact request, mentioning another user with @handle in Ask AI, or inviting another Calendiary user to an event shares information with that other user; this is described in "When and with whom do we share your personal information?" below.
- Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model, Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device's operating system or platform, the type of mobile device you use, your mobile device's unique device ID, and information about the features of our application(s) you accessed.
We do not request access to Contacts, precise GPS / device location (CLLocation), the camera, or App Tracking Transparency for the Calendiary app as currently offered. We also do not use Apple Reminders as a data source; to-dos in Calendiary are synced through our Services (for example, our databases), not Apple Reminders.
Account and synced data. When you use Calendiary with an account, we may store and sync on our servers information such as: your name, email address, public @handle, and optional birthday; goals, goal steps, and to-dos; procedural avatar configuration and avatar images we render from it (see "Avatar images" under "When and with whom do we share your personal information?" for where those images are stored); email aliases (including EventKit-harvested calendar identity emails); timezone, appearance, notification, and marketing-email preferences; onboarding survey answers; AI conversation or session context, together with day recaps and day summaries generated from it; durable AI-learned preferences (see Settings → Memory); event completion statuses; a short-lived list of your upcoming events - their identifiers, titles, times, card colors, and the Calendiary user ids of any attendees we matched - used to start event Live Activity cards while the app is not running, which we delete shortly after each event ends; your Calendiary contacts and the event invitations you send or receive; notifications we have sent you; device push tokens; and period-analysis or event-category results used to personalize the timeline and related features.
We also keep records related to your subscription (see "Payment Data" above) and, if you opt in to marketing emails, a record of the campaigns we sent to you.
This information is primarily needed to maintain the security and operation of our application(s), to provide the features described above, for troubleshooting, and for our internal analytics and reporting purposes.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information - such as your Internet Protocol (IP) address and/or browser and device characteristics - is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, approximate location derived from IP address, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies. You can find out more about this in our Cookie Notice: calendiary.ai/cookie-notice.
The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings). By default, the logs of your AI requests record only technical information — such as timing, status codes, and which internal steps ran — and not your calendar content or the text of your messages.
- Optional diagnostic logs. If you turn on Settings → About → Diagnostics → "Share diagnostic logs" (off by default), our servers and our own AI service also record detailed logs of your AI requests so we can investigate problems you report. These logs can include the day context sent with a request (for example, event titles, times, calendar names, and the display names of Calendiary users you mention), the text of your Ask AI messages, the conversation history of that AI session, the suggestions and calendar actions that were generated (which may include attendee email addresses), and error details returned by AI service providers. Diagnostic logs are written to the logging system of our hosting provider (Vercel), are kept for about one day, and are then deleted automatically. They are not sent to Mixpanel, advertising networks, or other Calendiary users, and they are not used to train AI models. You can turn this setting off at any time; logs of later requests then go back to the technical information described above.
- Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
- Location Data. We do not continuously track your device's GPS location, and the Calendiary app does not request precise device geolocation permissions. Location-related information may appear as event location text associated with calendar events you grant us access to. Separately, when you use our website or online Services, we may derive approximate location from your IP address (or proxy server). You can limit some of this information by adjusting device or browser settings, though doing so may affect certain aspects of the Services.
- Product analytics. We use Mixpanel to understand how the Calendiary app is used. Events are sent both from the app (through the Mixpanel SDK) and from our servers, and include actions such as signing in or out, completing onboarding, creating, moving, or deleting a calendar event, creating a goal or to-do, sending an Ask AI message, starting a Do Loop reflow, viewing the paywall, completing or restoring a purchase, opening a deep link, and requesting notification permission. Once you are signed in, these events are linked to your account identifier. We send only structural properties with these events - for example, an event's duration, whether it repeats, or the length of an Ask AI message - and not the content you write, such as calendar event titles, goal or to-do titles, or the text of your Ask AI messages. We do not send HealthKit data or inferred wake time to Mixpanel. We have turned off Mixpanel's IP-based geolocation, so we do not collect approximate location through this analytics. Mixpanel's privacy notice: https://mixpanel.com/legal/privacy-policy/.
- Bot and abuse protection on our website forms. When you submit our waitlist or contact form, we use Cloudflare Turnstile to check that the request comes from a person rather than an automated script. This processes your IP address and device/browser signals. See our Cookie Notice at calendiary.ai/cookie-notice and Cloudflare's privacy policy: https://www.cloudflare.com/privacypolicy/.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process the personal information for the following purposes listed below. We may also process your information for other purposes only with your prior explicit consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service, including calendar timeline features, goals and to-dos, Ask AI, Do Loop, categorization, and related planning features.
- To respond to user inquiries/offer support to users. We may process your email address, the content of your message, and related correspondence when you contact us (including through our website contact form at calendiary.ai/contact), so we can respond to your question and provide support. We do not use contact form submissions for promotional marketing.
- To handle privacy and data rights requests. We may process information you submit when you exercise privacy rights or ask us about your personal data (including through our contact form or by email), so we can verify your identity where required, respond to your request, and keep a record of the request as needed to comply with applicable law. You can also delete your account from within the Calendiary app where that option is available; you do not need to contact us first.
- To send waitlist and launch updates. We may process your email address when you join a waitlist or request updates via our website forms, so we can send you the launch notification you requested (for example, an email with a link when the Calendiary app is available on the App Store) and related waitlist communications. These messages fulfill your request and are not promotional marketing. You can ask us to stop by using the unsubscribe link in those emails or by contacting us as described in this Privacy Notice.
- To enable user-to-user communications. We may process your information if you choose to use any of our offerings that allow for communication with another user - for example, limited attendee presence (such as display name and avatar) when calendar attendee emails match Calendiary users; contact requests between Calendiary users; finding another user by their public @handle; mentioning a user with @handle in Ask AI; and sending or responding to event invitations, which shares the event's title, time, and location with the person you invite.
- To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
- To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. Marketing emails to account holders are opt-in: we send them only to the email address on your account and only if you have turned marketing emails on in the app, which is off by default. We use Resend as our email delivery provider, and we keep a record of which campaigns were sent to you. Promotional or product-announcement push notifications are sent only if you have explicitly opted in in the app (Settings → Notifications → "Get occasional notifications", off by default), and you can opt out in the app. You can opt out of our marketing emails at any time by turning the setting off in the app or by using the unsubscribe link in the email. For more information, see "What are your privacy rights?" below.
- To troubleshoot problems, with your consent. If you turn on diagnostic logs (Settings → About → Diagnostics, off by default), we process the content of your AI requests in short-lived server logs so we can diagnose and fix problems you report, as described in "What information do we collect?" above. We rely on your consent for this, and you can withdraw it at any time by turning the setting off.
- To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
- To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them, including through the product analytics described in "What information do we collect?" above and the onboarding survey answers you choose to give us.
- To determine the effectiveness of our marketing and promotional campaigns. We may process your information to better understand how to provide marketing and promotional campaigns that are most relevant to you.
- To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
- To personalize planning features that depend on your age or birthday. We may process your birthday where you choose to provide it, to personalize planning features and related defaults in the Services.
3. What legal bases do we rely on to process your information?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
- Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose — for example, marketing emails, promotional push notifications, and optional diagnostic logs of your AI requests. You can withdraw your consent at any time. See "Withdrawing your consent" under "What are your privacy rights?" below.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
- Send users information about special offers and discounts on our products and services
- Analyze how our Services are used so we can improve them to engage and retain users
- Support our marketing activities
- Diagnose problems and/or prevent fraudulent activities
- Understand how our users use our products and services so we can improve user experience
- Respond to customer support inquiries
- Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to respond to privacy and data protection requests, to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
- Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.
If you are located in Canada, this section applies to you.
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:
- If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
- If the collection is solely for journalistic, artistic, or literary purposes
- If the information is publicly available and is specified by the regulations
- We may disclose de-identified information for approved research or statistics projects, subject to ethics oversight and confidentiality commitments
4. When and with whom do we share your personal information?
In Short: We may share information in specific situations described in this section and/or with the following categories of third parties.
Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your personal information. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will also not share your personal information with any organization apart from us. They also commit to protect the data they hold on our behalf and to retain it for the period we instruct.
The categories of third parties we may share personal information with are as follows:
- AI Platforms (OpenAI and our own AI service — see section 6)
- Cloud Computing Services and Data Storage Service Providers (for example, Vercel and Neon)
- Payment Processors (including Apple and subscription/entitlement processors such as RevenueCat)
- Product and Website Analytics Providers (Mixpanel in the iOS app; Google Analytics on the Website)
- Email Delivery Providers (Resend)
- Bot Detection, Anti-Abuse, and Security Providers (Cloudflare Turnstile on Website forms)
- User Account Registration & Authentication Services (Sign in with Apple; Google Sign-In)
- Website Hosting Service Providers (Vercel)
- Speech Recognition (Apple), used only when you use Ask AI voice input
We do not share Calendiary iOS app user data with advertising networks, and the iOS app does not request App Tracking Transparency permission. We do not currently use a separate crash-reporting SDK or a sales/marketing SDK in the iOS app beyond the named providers above. If we later use advertising cookies on the Website only, that will be described in our Cookie Notice.
The main providers we currently use are: Apple (Sign in with Apple, App Store purchases, push notification delivery, Speech Recognition) and Google (Google Sign-In and Google Analytics on our website); OpenAI and our own AI service for the AI features described in section 6; RevenueCat for subscription and entitlement management; Mixpanel for product analytics; Resend for email delivery; Cloudflare (Turnstile) for bot and abuse protection on our website forms; and Vercel and Neon for hosting our website, API, and databases. This list may change as we add or replace providers. Contracts with these providers are designed so they may use personal information only to provide their services to us, and so they provide protection consistent with this Privacy Notice and Apple's App Store Review Guidelines.
We also may need to share your personal information in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Other Users. Some Calendiary features share information with other Calendiary users, as described in "Sharing with other Calendiary users" below. If we add features that let you post content to public areas of the Services, information you share there may be viewed by other users and may remain available outside the Services.
Sharing with other Calendiary users
Calendiary includes social features. Each of them shares only what the feature needs, and each one is under your control:
- Public @handle. If you choose a @handle, other signed-in users can find your account by searching for that handle, and can see your handle, display name, and avatar. If you do not want to be discoverable this way, do not set a handle.
- Attendee presence. When an attendee email address on a calendar event matches a Calendiary account, we may show that user's display name and avatar on the event. The same applies to your own account when other Calendiary users have you as an attendee.
- Avatar images. To show your avatar on another person's device — including on a Lock Screen activity card that their phone draws while our app is not running — we render your procedural avatar configuration into an image file and store it with our hosting provider at a direct, unlisted web address. That address is not published, indexed, or linked to your name or email anywhere, and it is not guessable, but anyone who has the address can open the image without signing in. The image shows only the cartoon avatar you configured; we do not host photographs of you. If you change your avatar, we render a new image at a new address.
- Contact requests. You can send another user a contact request, and they can accept or decline it. The other user sees your handle, display name, and avatar.
- Event invitations. If you invite another Calendiary user to an event, we share that event's title, start and end time, all-day flag, and location text with the person you invite, and we show you their response. To limit who can reach you this way, an invitation from someone who is not an accepted contact is held back and shown to the recipient only after they accept the contact request.
- @handle mentions in Ask AI. If you mention another user with their @handle in an Ask AI message, we look that handle up so we can act on your request.
If another user behaves abusively, you can contact us at support@calendiary.ai. Where the app provides in-app reporting or blocking, you can also use those tools. When you delete your account, we delete associated personal data from our records as described in "How can you review, update, or delete the data we collect from you?", including social data tied to your account (handle, contacts, invitations) that we are not legally required to keep.
5. Do we use cookies and other tracking technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) on our website to maintain security, prevent crashes, save preferences, and understand site usage.
The Calendiary iOS app does not use browser cookies, does not use advertising or targeting cookies, does not request App Tracking Transparency, and does not track you across other companies' apps and websites for advertising purposes. Product analytics in the app are collected through the Mixpanel SDK rather than browser cookies, as described in "What information do we collect?" above.
If advertising or targeting cookies are enabled on the website at a given time, they are described in our Cookie Notice. They do not apply to the iOS app.
To the extent these online tracking technologies are deemed to be a "sale"/"sharing" (which includes targeted advertising, as defined under the applicable laws) under applicable US state laws, you can opt out of these online tracking technologies by submitting a request as described below under section "DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?"
Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Notice: calendiary.ai/cookie-notice.
Google Analytics
We use Google Analytics (GA4) on our website at calendiary.ai to track and analyze use of the Website. To opt out of being tracked by Google Analytics across websites, visit https://tools.google.com/dlpage/gaoptout. For more information on the privacy practices of Google, please visit the Google Privacy & Terms page.
Mixpanel
We use Mixpanel for product analytics in the Calendiary app, as described in "What information do we collect?" above. Mixpanel receives structural usage events, not the content you write in the app and not HealthKit data. If you would like us to delete the analytics events associated with your account, contact us at support@calendiary.ai. Mixpanel's privacy notice: https://mixpanel.com/legal/privacy-policy/.
6. Do we offer artificial intelligence-based products?
In Short: Ask AI, Do Loop, event classification, and related planning features send selected personal information to our servers and to third-party AI providers (currently OpenAI) so we can generate suggestions for you. We ask for your permission before doing that.
Calendiary includes features powered by artificial intelligence and machine learning (collectively, "AI Products"):
- Ask AI — you type or speak a request; we return planning suggestions, answers, or actions.
- Do Loop / reflow — we help rearrange your day based on your calendar and tasks.
- Event classification and embeddings — we categorize events so the timeline can group them.
- Day recaps and summaries — we generate a short recap from your day's context.
Third-party AI. We currently use OpenAI as an AI Service Provider, together with our own AI service. When you use an AI Product, selected input, generated output, and related context are sent to these providers so they can return a result to you. Apple's App Store Review Guidelines require us to disclose this sharing and to obtain your permission before it happens. You give that permission by choosing to use the AI feature (for example, sending an Ask AI message or starting a Do Loop). You can stop at any time by not using those features. Deleting your account deletes stored AI conversation or session context from our systems as described in this Privacy Notice.
What we send. Depending on the feature you use, the context may include:
- the text of your Ask AI message (and, for voice input, the transcript produced by Apple Speech Recognition — not the raw audio)
- relevant calendar event fields you have permitted us to read (for example, titles, times, location text, and attendee names/emails needed for the request)
- goals, to-dos, and related planning content
- timezone and similar preferences
- inferred wake time derived from HealthKit, if you have granted HealthKit access and that value is needed for the suggestion
- durable preferences we have saved about you (see "What we remember" below)
What we remember. When you explicitly tell Ask AI about a durable personal habit or preference (for example, "I always do 90-minute workouts"), it may save a short, plain-language note about it so future suggestions can take it into account. These notes are linked to your account, are included in the context sent to AI Service Providers on later requests, and are not used for advertising. You can view and delete them at any time in Settings → Memory, and deleting your account deletes them.
Diagnostic logs. Detailed logs of AI requests — including the context and messages listed above — are kept only if you turn on diagnostic logs (Settings → About → Diagnostics, off by default). They are written by our own servers and AI service to our hosting provider's logging system for about one day, not shared with AI Service Providers for their own use, and not used to train AI models. See "Optional diagnostic logs" in "What information do we collect?"
We do not send HealthKit data, calendar content, or Ask AI message text to Mixpanel. Mixpanel receives only structural usage events (for example, that an Ask AI message was sent, and its length), as described in "What information do we collect?"
How providers may use it. AI Service Providers process this information on our instructions to generate the response or classification for you. We configure available provider controls so that your inputs are not used to train their general/public models, to the extent the provider offers that control. They may not use this information for advertising. HealthKit-derived data included in an AI request is used only to provide the planning feature to you; it is not used for advertising, marketing, or use-based data mining.
You must not use the AI Products in any way that violates the terms or policies of an AI Service Provider.
7. How do we handle your social logins?
In Short: If you choose to register or log in to our Services using a social media or third-party account, we may have access to certain information about you.
We offer two authentication methods: Sign in with Apple and Google Sign-In. When you register or log in with Apple, we receive certain profile and authentication information from Apple, which typically includes your Apple user identifier / identity token and, when you choose to share them, your name and email address (which may be an Apple private relay address). When you register or log in with Google, we receive an identity token from Google containing your Google user identifier and, where available, your email address and whether Google has verified it.
We store the identifier from your sign-in provider so we can recognize your account on your next sign-in. For Sign in with Apple we also store an Apple refresh token, used only to revoke your Apple sign-in authorization when you delete your account.
If we offer other third-party social login options in the future, we may receive certain profile information from those providers. The profile information we receive may vary depending on the provider concerned, but will often include your name, email address, and profile picture, as well as other information you choose to make public on such a platform.
We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media or authentication provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
8. Is your information transferred internationally?
In Short: We may transfer, store, and process your information in countries other than your own.
Our servers are located in the United States. Regardless of your location, please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information (see "When and with whom do we share your personal information?" above), including facilities in the United States, and other countries.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Notice and applicable law.
European Commission's Standard Contractual Clauses:
We have implemented measures to protect your personal information, including by using the European Commission's Standard Contractual Clauses for transfers of personal information between our group companies and between us and our third-party providers. These clauses require all recipients to protect all personal information that they process originating from the EEA or UK in accordance with European data protection laws and regulations. Our Standard Contractual Clauses can be provided upon request. We have implemented similar appropriate safeguards with our third-party service providers and partners and further details can be provided upon request.
9. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
If you have a Calendiary account, no purpose in this notice will require us keeping your personal information for longer than the period of time in which you have an account with us.
If you join a waitlist or request launch updates without creating an account, we keep your email address and related waitlist information until the earliest of: (i) we have sent the launch / App Store notification you requested and a reasonable period afterward to complete that request, (ii) you unsubscribe or ask us to delete your waitlist information, or (iii) you create a Calendiary account, in which case that information may be associated with your account and retained as described above. If you unsubscribe, we may retain a minimal record of that request so we can honor it and avoid contacting you again.
If you contact us through our website contact form or by email without creating an account, we keep your email address, message, and related correspondence until we have responded and for a reasonable period afterward to complete the conversation and keep customer-support records. If your message is a privacy or data rights request, we may retain the request and our response for a longer period as needed to demonstrate that we handled the request in accordance with applicable law. If you later create a Calendiary account, that correspondence may be associated with your account and retained as described above.
Server logs, including the optional diagnostic logs of your AI requests, are kept by our hosting provider for about one day and then deleted automatically. Deleting your account does not delete log entries that were already written, but they expire on the same schedule.
Records of marketing emails we have sent you (the campaign, the recipient address, and whether delivery succeeded) are kept as a sending record after your account is deleted, so we can demonstrate what was sent and honor opt-outs.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
10. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
11. Do we collect information from minors?
In Short: Calendiary is not directed to children under 13. We do not knowingly collect personal information from children under 13. The App Store 9+ rating is a content rating only; it is not an invitation for children to create accounts.
Calendiary is a planning app for a general audience. It is not in the App Store Kids Category, and we do not market it as an app "for kids" or "for children." The 9+ age rating in App Store Connect describes content suitability (parental controls), not our data-collection age.
We do not knowingly collect, solicit, or market to children under 13, and we do not knowingly sell their personal information. We do not knowingly allow children under 13 to create a Calendiary account. By creating an account, you represent that you are at least 13, or the higher minimum age required in your country. If we learn that we have collected personal information from a child under 13, we will delete the account and that information. If you believe we have collected data from a child under 13, contact us at support@calendiary.ai.
United States — COPPA (under 13). The U.S. Children's Online Privacy Protection Act ("COPPA") applies to personal information collected from children under 13. Because Calendiary accounts involve email, calendar data, optional HealthKit data, analytics, and social features, we do not offer the service to children under 13 and we do not seek to collect their data. If we learn that we have collected personal information from a child under 13 in a manner not permitted by COPPA, we will delete that information.
12. What are your privacy rights?
In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account by contacting us, depending on your country, province, or state of residence.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If a decision that produces legal or similarly significant effects is made solely by automated means, we will inform you, explain the main factors, and offer a simple way to request human review. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "How can you contact us about this notice?" below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you are located in the UK and are unhappy with how we have handled your personal information, you can make a complaint directly to us. This is in addition to the rights you have under the UK General Data Protection Regulation and the Data Protection Act 2018.
How to contact us:
- Online: calendiary.ai/contact
- Email: support@calendiary.ai
- Post: See "How can you contact us about this notice?"
What happens after you complain
- We will acknowledge your complaint within 30 days of receiving it.

- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.
If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.
Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "How can you contact us about this notice?" below.
Device and feature permissions can also be withdrawn without contacting us:
- HealthKit: iOS Health app → Data Access & Devices → Calendiary
- Calendars (EventKit): iOS Settings → Privacy & Security → Calendars
- Microphone: iOS Settings → Privacy & Security → Microphone
- Notifications: in the Calendiary app (event alerts) and iOS Settings → Notifications → Calendiary
- Screen Time / Family Controls: iOS Settings for Screen Time / the permission prompt for that feature
- Ask AI / third-party AI: stop using Ask AI, Do Loop, and related AI features; delete stored conversation context by deleting your account
- Diagnostic logs of AI requests: in the Calendiary app (Settings → About → Diagnostics → "Share diagnostic logs")
- AI-learned preferences: in the Calendiary app (Settings → Memory) — view or delete individual items
- Mixpanel analytics associated with your account: email support@calendiary.ai or delete your account
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications: Marketing emails to account holders are off unless you turn them on in the app, and you can turn them off again at any time in the app's settings. You can also unsubscribe by clicking the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section "How can you contact us about this notice?" below. You will then be removed from the marketing lists. Promotional push notifications are sent only if you opt in in the app (Settings → Notifications → "Get occasional notifications", off by default), and you can turn them off in the app and in your device's settings. However, we may still communicate with you - for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
Waitlist emails: If you joined a waitlist, you can stop waitlist and launch-update emails by using the unsubscribe link in those emails or by contacting us as described in this Privacy Notice.
Account Information
If you have an account, you can delete your account and associated personal information from within the Calendiary app (Settings → Account → Delete Account). You do not need to email us first. You may also contact us at support@calendiary.ai or via our contact form at calendiary.ai/contact if you need help.
Deleting your account deletes the account record and associated personal data from our systems, including data you shared with other Calendiary users that is stored as part of your account (for example, your @handle, contacts, and invitations), except for limited information we may retain where required for fraud prevention, security, dispute resolution, or legal compliance, as described in this Privacy Notice. We revoke Sign in with Apple authorization using Apple's token revocation API when you delete your account.
Subscriptions. Deleting your Calendiary account does not cancel an auto-renewable App Store subscription. Billing continues through Apple until you cancel. Cancel in iOS Settings → your name → Subscriptions, or at https://apps.apple.com/account/subscriptions, before or after deleting the account.
HealthKit. Account deletion deletes inferred wake time we stored on our servers. It does not remove Sleep Analysis records in Apple's Health app. Revoke Calendiary's HealthKit access separately in the Health app if you wish.
If deletion is not instantaneous (for example, backups), we will complete it as soon as reasonably possible and, where it will take additional time, tell you.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. For further information, please see our Cookie Notice: calendiary.ai/cookie-notice.
If you have questions or comments about your privacy rights, you may email us at support@calendiary.ai.
13. Controls for do-not-track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
14. Do United States residents have specific privacy rights?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law. More information is provided below.

18. How can you review, update, or delete the data we collect from you?
If you joined a waitlist or requested launch updates and do not have an account, you can ask us to delete that information by emailing support@calendiary.ai or by using the unsubscribe link in our waitlist emails.
If you submitted a general support inquiry through our contact form or by email and do not have an account, you can ask us to delete that correspondence by emailing support@calendiary.ai. Records of privacy and data rights requests may be retained as described in "How long do we keep your information?".
If you have an account, delete it from within the Calendiary app (Settings → Account → Delete Account). You do not need to email us first. Account deletion does not cancel an App Store subscription — cancel that in your Apple ID subscription settings. HealthKit access is revoked separately in the iOS Health app. See "What are your privacy rights?" for the full deletion, subscription, and HealthKit notes. You may also contact us at support@calendiary.ai if you need help.
